How to Create a Newsletter Template for Your Small Business

Learn how to design a professional, reusable email newsletter template that engages your Brisbane customers and drives sales.

Angus 25 January 2026

A well-designed newsletter template is the backbone of your digital communication strategy. It ensures brand consistency, saves you hours of work each month, and provides a familiar experience for your Australian customers, ultimately building the trust required to drive conversions.

Prerequisites

Before you begin, ensure you have the following ready:
  • An account with an Email Service Provider (ESP) like Mailchimp, MailerLite, or ActiveCampaign.
  • Your brand assets (high-resolution logo, brand colours/HEX codes, and fonts).
  • High-quality images of your products, team, or local Brisbane storefront.
  • Your Australian Business Number (ABN) and physical business address (legally required for the footer).

Step 1: Choose Your Platform and Template Type

Log into your chosen email marketing platform. Navigate to the 'Templates' or 'Saved Layouts' section and select 'Create New'. Most platforms offer three choices: a drag-and-drop builder, a pre-designed themed template, or custom HTML code. For most Australian small business owners, the drag-and-drop builder is the best balance of professional design and ease of use. Screenshot Description: You should see a dashboard with buttons like 'Create Campaign' or 'Email Templates'. Selecting 'Templates' will usually reveal a gallery of basic layouts (1-column, 2-column, etc.).

Step 2: Set Your Global Styles

Before adding content, set your 'Global Styles'. This ensures every block you drag in later automatically uses your brand colours and fonts. Set your background colour (usually white or a very light grey), your default paragraph font (e.g., Arial or Helvetica for maximum compatibility), and your link colour (use your primary brand colour).

Step 3: Design a High-Impact Header

Your header stays the same in every newsletter. Drag an 'Image' block to the very top and upload your logo. Pro Tip: Don't let your logo take up the whole screen. Keep it centered or left-aligned and ensure the file size is small so it loads instantly on mobile data. Adding a 'View in Browser' link above the header is also a best practice for subscribers with strict email filters.

Step 4: Create a 'Hero' Section

This is the first thing people see. Use a large, high-quality image block followed by a Heading (H1). This section is where you’ll place your most important news—perhaps a new product launch or a local Brisbane event you're hosting.

Step 5: Establish Your Content Hierarchy

Use a mix of layout blocks to keep the reader interested. A common effective structure is:
  • Hero Section: One big update.
  • Secondary Content: Two columns with smaller images and 'Read More' buttons.
  • Community/Value Add: A single column text block for a tip, trick, or "Local's Corner" update.

Step 6: Standardise Your Buttons (CTAs)

Every newsletter needs a Call to Action (CTA). Drag a 'Button' block into your template. Style it with a bold colour that contrasts with your background. Set the rounded corners (border radius) and padding to match your brand's vibe. By setting this up in the template, you ensure your 'Shop Now' or 'Book Online' buttons look identical every time. Australian Spam Act 2003 regulations are strict. Your footer must include:
  • Your business name and physical address.
  • A clear, functional 'Unsubscribe' link.
  • A reminder of why they are receiving the email (e.g., "You're receiving this because you're a valued customer of [Business Name]").
  • Links to your social media profiles.
Screenshot Description: The footer area usually contains 'Merge Tags' like |UNSUB| or |ADDRESS|. These look like code but will automatically pull your real business details when sent.

Step 8: Optimise for Mobile Devices

Over 60% of Australians check their email on a smartphone. Most modern builders have a 'Mobile Preview' toggle. Check that your font sizes are at least 16px for body text so people don't have to squint, and ensure your buttons are large enough to be tapped with a thumb.

Step 9: Set Up Placeholder Text

Since this is a template, use 'Lorem Ipsum' or placeholder text like "[Insert Compelling Headline Here]". This acts as a guide for you or your staff when you go to create your actual monthly campaign, ensuring you don't forget to fill in a section.

Step 10: Save and Send a Test

Once you are happy with the layout, click 'Save and Exit'. Name it something clear like "2024 Main Monthly Newsletter". Before finishing, use the 'Send Test Email' feature. Open this test on your phone and your desktop to ensure the images load and the links work. *

Common Mistakes to Avoid

  • Images that are too large: Uploading a 5MB photo directly from your iPhone will make the email slow to load and might land you in the spam folder. Aim for images under 200KB.
  • Too many fonts: Stick to two fonts max. One for headings, one for body text. Too many styles look unprofessional and cluttered.
  • Ignoring the 'Preheader': This is the snippet of text that appears after the subject line in an inbox. Make sure your template has a space to edit this.

Troubleshooting

  • Images aren't showing up: Check if your image hosting is set to 'public' or if the file format is compatible (use .jpg or .png).
  • The email looks 'broken' in Outlook: Outlook uses a different rendering engine. Avoid using complex background images or overlapping elements; keep your layout simple and 'boxy'.
  • Buttons aren't clickable: Ensure you have entered a full URL (including the https://) in the button settings.
